Getting Started with Take Snapshot and Recover Permissions
Managing permissions effectively in SharePoint Online is crucial to maintaining security and ensuring the right access for users. DeliverPoint provides two key features—Take Snapshot and Recover Permissions from Snapshot—to help you monitor and revert permissions with ease. Here’s a brief overview to get you started.
What is a Snapshot?
A Snapshot is a record of all permissions settings for a chosen site, list, or item in your SharePoint environment, captured at a specific moment. This feature is useful if you need to track changes or revert permissions to a previous state.
Why Take a Snapshot?
You may want to take a snapshot before making major permission changes, such as updating access settings across multiple sites or modifying permissions for key lists and items. This ensures you have a backup of the current permissions configuration, which you can recover if necessary.
What Does Recover Permissions Do?
The Recover Permissions feature lets you restore the exact permissions as they were at the time the snapshot was created. This is helpful if permission changes cause access issues or if you need to revert to a previously approved state of permissions.
Basic Steps to Use These Features
- Take a Snapshot: Choose the scope (like a site or list), define the snapshot name, and select whether to include subsites, lists, and individual items. You can make the snapshot available to other administrators if needed.
- Recover Permissions: Select a previously created snapshot, review the changes, and decide whether to recover permissions. You can also compare current permissions to those in the snapshot before proceeding.
When to Use These Features
- Before Large-Scale Changes: Capture a snapshot to ensure you have a rollback option.
- After Identifying Access Issues: Use a snapshot to recover permissions if an issue arises.
- After “cleaning up” permissions to a desired state that you may wish to revert to.
