Data storage
The following meta information is stored in the Forms Studio database in Lightning Tools Azure (United Kingdom region):
- Solution name and description
- Site URLs for deployments and packages
- Email address and name of the solution creator/s (used for communication in
case of bugs and misconfiguration, as well as sharing functions) - Background services such as Scheduled/Triggered Actions and Calculated Columns
No lists, items, or documents are stored in the Lightning Tools database; actual data always remains in your SharePoint tenant. The solutions run directly in your tenant.
License information is stored with and managed by our technical partner Skybow.
Azure application and permissions
When you use Lightning Tools Forms Studio for the first time, a Global Admin in your organization needs to “trust” it once for the organization. This will create an enterprise application in your Azure Entra ID called
“Lightning Tools Forms Studio” which has the following permissions:
Sign in and read user profile (User.Read): Allows Forms Studio to read the full set of profile properties, group membership, reports, and managers of other users in your organization, without a signed-in user.
Have full control of all site collections (Sites.FullControl.All): Grants Forms Studio full control access to all site collections.
If you are not able to get this trust on your production tenant, there is an alternate “App Deployment” method that works in a single site collection.
LT Forms Studio also takes into account the permissions of a solution creator on a site where the solution is to be created. If a solution creator does not have admin rights on a site, no solution can be created there. Lightning Tools does not require its own user account to access customer data and there are no backdoors created.
There are a number of other optional permissions, depending on what features and functions you use in your Solutions. These are listed in a separate article.
