How to create PDF archives from filled out forms

The functionality to create PDF archives from filled out forms is incorporated as an add-on feature of the Lightning Tools Form Migrator's Data Conversion feature.

If you’re converting a form’s data, follow the steps in the Converting Data article to add a PDF of the form as an attachment to the newly created list items in the destination data source (list).

Set up the destination

If you’re not converting the data, you can still create an archive of the filled-out forms from the source list or library.  Here's how:

  1. Select the form you want to create an archive for.
  2. Click the Write button.
  3. Click the SharePoint writer.
  4. Select your SharePoint Connection.
  5. Click the ellipses button to the right of the List property.
  6. From the Tree Picker dialog, select an existing List or Document Library or select (new) to create a new one and click the Select button.
  7. If you’re using an existing List or Document Library, you will need to select Modify for the If List Exists property.
  8. For the Create Archive? setting, choose Yes.
  9. For Archive Type, choose Library (the default) if you want to create a Document Library archive or List if you want to use a SharePoint List.  Choose List if your form contains attachments fields and you want the links active in the generated PDFs, otherwise choose Library.
  10. Click the Conversion Settings tab.
  11. Click the Fields tab.
  12. Select the field(s) you want to promote as metadata to the existing or new library.
    1. During the archiving process, the data associated with these fields will populate the columns of the document library items to improve findability.
  13. Click Go.

Populate the archive

You will now have an existing document library that has been modified or a newly created document library.  Now we’re ready to populate the archive:

  1. Click the Convert button (select/re-select the form if necessary).
  2. Verify that both the Source and Destination data sources are populated correctly.
  3. Check the Archive Source Formas PDF Attachment? box.
  4. Select the View(s) you want include in the PDF.  
  5. You can optionally check the Encrypt PDF? box and enter a password.
  6. Click Start Migration.

The destination document library will be populated with items, where the primary document is the PDF archive and any metadata you chose to promote will show up in the columns for each item.
